The IMS sales order processing is designed to be user friendly, intuitive and time saving. To create a new sales order go to Sales ⇒ New Sales Order.
Select contact person
The order fulfillment form implements a workflow that is most common in the trade industry. Reading from the top of the from downwards you will follow the steps of first selecting the customer and then select the delivery address, location, contact, date and products.
As you start typing the customer name or code a drop-down will show with a list of customers names from the database that match your input. Alternatively, click the New Customer to create a new Customer and return back to this form.
Once you have selected or created the customer, use the Tab key to go to the next field, the contact and delivery address fields will be loaded with names and addresses related to the selected customer. Next, select the contact person you are taking the order from, or if the person is not listed, click the New button to create a new contact.
Depending on your login permissions you may be allowed to change the Order Date and Order Delivery Date. If you do not have the permission, the Order Date will automatically be set to the current date and the order Delivery Date will be set to the current date plus the number of days set as Order-To-Delivery (OTD) from your system settings. To change the OTD go to Settings ⇒ Sales.
Select delivery location
Within the delivery section you will find another drop-down to select another contact. This is the person your delivery staff needs to contact once they deliver the goods arriving at your customer's site. The Location drop-down allows you to maintain a list of more specific delivery locations within the chosen delivery address. For example "Main lobby" or "Back door".
Again, use the Tab key to move to next field until the Product code input field is highlighted. You can either type the Product Code or Product Description to search the product database. Hit the Tab key again to move to the next field and the order-line will be automatically populated with the unit of measure (UOM), the selling price and discounts, if any.
The Selling Price is selected from the product database and depending on the Retail or Trade/VIP setting from your customer records, and also depending on the delivery address. If the delivery address country is the same as your business country tax will apply and included or not depending of your customer's Retail or Trade setting.
Customer product level discount
The selected Line Discount can be either customer record level discount, customer product level discount, member group discount or promotion discount. Whichever is higher.
Depending on your login permissions you may be allowed to change the discount and selling price. The background of the discount field will change color to indicate a discount applies. Hover your mouse over the field to find out which of the discounts.
When the discount or selling price is adjusted manually the discount field will provide information on how it compares to the product cost. This will help your sales agent to effectively choose a selling price. After changing the discount or selling price manually, hover over the discount field to see how the new selling price compares to the product cost.
The Customer Order History section is being populated with order history from the selected customer for up to the past maximum 90 days. To change the maximum number of days go to Content ⇒ Content Items and click the "Order Edit" form. Use the icon to copy lines from the history to you current sales order.
Then finally, click one of the following buttons;
Submit, to submit this order for processing by delivery staff. Inventory stock levels will be adjusted and you will return to an empty order screen to start accepting your next sales order.
Process, to submit this order and change to the order processing screen for further processing of the order by yourself.
Quotation, to save this order as quotation and return to an empty order screen to start accepting your next sales order.
Save, to save this order as a draft without changing inventory stock levels
Back, to go back to the previous screen and discard current order.
